Privacy Policy

1. About this policy

Remote Business Partner (ABN 76 098 718 150) (RBP, we, us or our) provides recruitment services to employers and candidates. This Privacy Policy explains how we collect, hold, use and disclose personal information in connection with our recruitment services and this website.

Where the Privacy Act 1988 (Cth) and the Australian Privacy Principles apply to our activities, we manage personal information in accordance with those requirements. This policy is also intended to give candidates and employers a clear explanation of our usual information-handling practices.

2. Personal information we may collect

Depending on how you deal with us, we may collect:

  • your name, email address, telephone number and other contact details;
  • CVs, employment history, qualifications, skills, licences, professional memberships and work experience;
  • LinkedIn or other professional profile information you choose to provide;
  • information you provide in cover notes, interviews, conversations and correspondence with us;
  • information about the roles, locations and working arrangements you are interested in;
  • referee or reference information where a reference process is undertaken;
  • work-right, identity or background information where reasonably required for a particular recruitment process;
  • for employers, business and contact information, role requirements, remuneration information and recruitment instructions; and
  • technical and security information generated when you use the website, such as IP address and anti-abuse verification information.

3. Sensitive information

Recruitment can occasionally involve sensitive information, such as health or disability information needed for workplace adjustments, criminal-history information for a role-specific check, or other information that has a higher level of privacy protection. We will only collect sensitive information where it is reasonably necessary for our recruitment functions and where consent or another lawful basis permits the collection. Please do not include sensitive information in a general application or expression of interest unless it is relevant or we have asked for it.

4. How we collect information

We usually collect personal information directly from you when you submit an application, register your interest, submit an employer recruitment request, communicate with us, participate in an interview or otherwise provide information to RBP.

Where appropriate, we may also collect information from referees, employers, recruitment platforms, professional networking services or publicly available professional sources. If information is collected from another source and you may not reasonably expect that collection, we will take reasonable steps to make you aware of it where required.

5. Why we collect and use personal information

We may collect, hold and use personal information to:

  • assess and manage applications for advertised vacancies;
  • identify and discuss employment opportunities that may suit a candidate;
  • communicate with candidates and employers during a recruitment process;
  • prepare candidate shortlists and facilitate introductions to prospective employers;
  • coordinate interviews, references and appointment processes;
  • respond to employer recruitment requests and provide recruitment services;
  • maintain appropriate recruitment, service and business records;
  • protect the security and integrity of our systems and prevent abuse of online forms; and
  • meet legal, regulatory, insurance, accounting or dispute-resolution requirements where applicable.

6. Disclosure of information

We may disclose relevant personal information to prospective employers where this is reasonably connected with a recruitment process and you have been informed of, or would reasonably expect, the proposed introduction. We do not sell candidate information or distribute CVs for unrelated marketing purposes.

We may also disclose information to service providers that help us operate the recruitment platform, communications, hosting, storage, security and authentication services; professional advisers; insurers; or regulators and authorities where disclosure is required or permitted by law.

7. Cloud and overseas processing

We use cloud-based technology providers to operate this recruitment application, including Cloudflare for website hosting, data storage and security services, Google Workspace/Gmail for recruitment email communications, and Firebase/Google services for authorised staff authentication. These providers may process or store information in infrastructure located in Australia or other countries depending on their service architecture and configuration. Where Australian privacy law requires us to take steps in relation to an overseas disclosure, we will take reasonable steps appropriate to the circumstances.

8. Security

We take reasonable technical and organisational steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. Measures used in this application include restricted staff access, authenticated administration functions, private document storage, server-side validation and anti-abuse controls. No internet or storage system can be guaranteed to be completely secure.

9. Retention and deletion

As a general recruitment practice, we may retain unsuccessful applications and candidate expressions of interest for up to 24 months after the last meaningful recruitment interaction so we can consider candidates for suitable future opportunities and maintain appropriate recruitment records. We may retain information for a shorter or longer period where you request this, where it remains reasonably necessary for an active recruitment or placement matter, or where law, insurance, accounting, dispute or other legitimate record-keeping requirements require a different period.

Where an authorised staff member removes a candidate-interest registration or employer recruitment request from the active administration system, the record may remain in a restricted soft-deleted state for a short operational grace period before permanent deletion. When personal information is no longer reasonably required, we will take reasonable steps to delete it, destroy it or de-identify it, subject to any applicable legal or record-keeping requirement.

10. Access and correction

You may ask us to provide access to personal information we hold about you or to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. We may need to verify your identity before responding. In some circumstances, access may be limited or refused where permitted by law, in which case we will explain the reason where required.

11. Automated decision-making

This recruitment application does not use automated decision-making to decide whether a candidate is suitable for a role, should progress in a recruitment process or should be appointed. Candidate applications are reviewed through a human-led recruitment process.

12. Privacy enquiries and complaints

If you have a privacy question, want to request access or correction, want us to consider deleting information, or wish to make a privacy complaint, contact us at recruitment@remotebusinesspartner.com.au.

We will consider privacy complaints in good faith and aim to respond within a reasonable period. If the Privacy Act applies to the matter and you are not satisfied with our response, you may also be able to contact the Office of the Australian Information Commissioner.

13. Changes to this policy

We may update this policy when our recruitment practices, technology or legal obligations change. The current version will be published on this website with its effective date.
